The same event can supply long-form knowledge, short promotional content and a useful archive, but only if the camera and sound plan accounts for each output.

The venue and running order decide the technical plan

Good event filming is mostly won before the first speaker walks on stage. We coordinate with the organiser, venue and AV team so cameras, sound and crew can work around the event rather than compete with it.

Start with the information we cannot guess

Send the running order, room plan, speaker list, stage format, access times and required deliverables. If there are simultaneous sessions, audience questions, presentation feeds or sponsor requirements, those details affect crew numbers and recording equipment.

Several rooms or simultaneous sessions

Concurrent sessions usually require additional cameras, operators or dedicated recorders because one crew cannot be in two places at the same time. We can build a coverage plan around the sessions that matter most.

Venue sound and audience questions

We can take a feed from the house sound desk where suitable, while independent recorders or microphones provide backup. Audience questions also need a plan if they are important to the final programme.

Slides, screens and presentation feeds

Where the AV team can provide a suitable output, slides or screen content can be recorded for use in the edit. This is especially useful when charts, demonstrations or presentation detail are essential to understanding a talk.

Parking, loading and setup time

Multi-camera event work can involve tripods, cases, audio recorders, monitors and power. Loading access and setup time matter, particularly where the crew must be ready before delegates enter the room.

Questions worth answering before the venue fills up

These are the practical details that usually decide crew size, camera positions, audio and post-production.

How many cameras does an event need?

A focused presentation may only need one operator, while panel talks, awards and long sessions are safer with two or more angles. Multi-room or simultaneous sessions can need additional operators or dedicated recorders. We recommend the smallest setup that will reliably create the required edits.

Can you record directly from the venue sound system?

Yes, where the venue or AV team can provide a suitable feed. We normally plan independent backup recording as well, because clean speech is one of the most important parts of conference and panel filming.

Can presentation slides be included in the finished event video?

Yes. Slides can be captured from a suitable AV output or supplied afterwards for integration in post-production. The best method depends on the venue setup and how important the presentation material is to understanding the session.

Can you supply complete talks and a highlights film from the same event?

Yes. The same production can create complete sessions, a shorter highlights film, individual speaker clips and social versions, provided those deliverables are agreed before filming so the coverage supports each edit.

Can you film interviews with speakers and delegates during the event?

Yes. Interviews can be scheduled around registration, breaks or the end of a session, ideally in a quieter area away from the main room. See professional interview filming.

Can you prioritise clips while the event is still timely?

Yes, where this is agreed in advance. Selected extracts or short edits can be scheduled before the longer session edits so communications teams have useful material while the event is still current.

Can you live stream and record the event at the same time?

Yes. A live stream and clean event recordings can be planned as one production. Connectivity, camera feeds, sound, graphics and the viewing destination should be confirmed early. See live streaming.

How early does the crew arrive?

Arrival depends on venue access, camera numbers, sound connections and how much equipment must be installed. We allow enough time to unload, position cameras, test audio and confirm the running order before the first session begins.

Can you cover several rooms or breakout sessions?

Yes, but concurrent sessions need enough cameras, operators or recorders to cover them independently. Send the full programme and room schedule so we can identify where additional crew is genuinely required.

What information do you need to quote an event filming project?
